Helios SaaS, a fast-growing B2B software company, had a meeting problem. Or rather \u2014 they had a reporting problem that had been solved by adding meetings. Every morning, six different teams ran a 30-minute standup just to share numbers with each other.<\/p>\n\n\n\n

The challenge<\/h2>\n\n\n\n

The CEO described it precisely: “I am paying twenty senior people to sit in a meeting at 9am to tell each other things that are already in our database.” Operational data was scattered across an AWS-hosted IVR, a MySQL ticketing database, a Salesforce instance, and three spreadsheets that one analyst manually refreshed every morning.<\/p>\n\n\n\n

The information was all there<\/em>. It just wasn’t arriving<\/em>.<\/p>\n\n\n\n

Our approach<\/h2>\n\n\n\n

We started by asking each team lead a deliberately blunt question: what are the three numbers you actually need at 8am to do your job? Not “would be nice to have” \u2014 actually need. The answers were surprisingly consistent: yesterday’s volume, today’s forecast, and one anomaly indicator.<\/p>\n\n\n\n

From there we built a small SQL automation: two queries running at 8am against the acn_ccagent<\/code> database, joined with IVR data from AWS, formatted into a one-page brief and dropped into a shared SharePoint folder. The whole thing was 180 lines of Python and one cron job.<\/p>\n\n\n\n

The hard part was not the code. The hard part was discipline \u2014 refusing to add metrics. Every quarter, leadership asked to add “just one more chart.” Every quarter, we said no, and instead asked which existing metric they were ready to retire. The brief stayed one page.<\/p>\n\n\n\n

  • Six recurring morning meetings cancelled outright; two more shortened from 30 to 10 minutes.<\/li>\n
  • Roughly 90 senior hours per week returned to the business.<\/li>\n
  • The 8am brief reached 94% open rate within the C-suite within four weeks.<\/li>\n
  • Three operational issues were caught and resolved in the first month purely because the anomaly indicator surfaced them on page one.<\/li>\n
  • The analyst who had been manually refreshing spreadsheets every morning was reassigned to forward-looking analysis \u2014 work she had wanted to do for two years.<\/li>\n<\/ul>\n\n\n\n

    Helios still runs the same brief today, with only minor adjustments. The lesson the CEO took away \u2014 and quoted to us afterwards \u2014 was that the right report is not the one with the most information. It’s the one people read.<\/p>\n","protected":false},"excerpt":{"rendered":"
